Managing Loyalty Accounts and Rewards

View customer loyalty accounts, point balances, transaction history, and tier status.

Find every customer's loyalty points, tier, and full transaction history under Customers → Loyalty Accounts. That's where you check balances, see how points were earned and redeemed, and adjust a customer's points when you need to. Here's how to read and manage each account.

Accessing Loyalty Accounts

You can find all your customer loyalty accounts from the main Customers section in BakeOnyx.

  1. Navigate to the Customers tab in the main menu.
  2. Click on the Loyalty Accounts sub-menu item.
  3. This will display a list of all customers who have a loyalty account. You can search for specific customers by name or email.

Viewing Individual Loyalty Account Details

To see the specifics of a customer's loyalty account, simply click on their name from the Loyalty Accounts list.

Account Overview

On the customer's loyalty account detail page, you'll see a summary of their rewards:

  • Current Points: The total points the customer has available to redeem.
  • Lifetime Points: The total points they have ever earned.
  • Punch Count: If you use a punch-card style reward system, this shows how many "punches" they've accumulated.
  • Current Tier: The customer's current loyalty tier (e.g., Bronze, Silver, Gold, Platinum).
  • Tier Achieved At: The date they reached their current tier.
  • Last Activity At: The date of their most recent loyalty-related action (earning or redeeming points).

Loyalty Transaction History

Below the account overview, you'll find the Loyalty Transaction History. This log shows every change to the customer's points balance:

  • Date: When the transaction occurred.
  • Type: What kind of transaction it was (e.g., Earn for points gained from a purchase, Redeem for points used for a discount, Bonus for special point awards, Expire for points that have passed their validity, or Adjust for manual changes).
  • Points: The number of points added or subtracted.
  • Description: A brief explanation of the transaction.
  • Order ID: If the transaction is linked to a specific order, you'll see the order number here, which you can click to view the order details.
Note: Birthday bonuses are automatically added to customer accounts on their birthday, provided their birthday is entered in their customer profile.

Understanding Tiers

BakeOnyx supports a tiered loyalty system (e.g., Bronze, Silver, Gold, Platinum). Customers move up tiers as they accumulate points or reach certain spending thresholds. Higher tiers can offer better rewards or exclusive perks, encouraging customers to spend more to reach those coveted higher levels.

Tip: Regularly review your loyalty transaction history to ensure points are being awarded and redeemed correctly. This helps maintain customer trust and program integrity.

Common Loyalty Scenarios

  • Earning Points: Points are typically earned automatically when a customer makes a qualifying purchase. The number of points earned is usually based on the total amount spent.
  • Redeeming Points: Customers can often redeem their accumulated points for discounts on future orders. This is usually handled during the checkout process.
  • Point Expiration: If you have point expiration set up, you'll see Expire transactions in the history when points are removed from a customer's balance after a certain period.
  • Manual Adjustments: Sometimes, you might need to manually add or remove points for a customer due to a special request or error correction. These will appear as Adjust transactions.
