Custom Cake Orders: The Complete Guide
Handle custom cake orders like a pro — from consultation and quoting to deposits, production, decoration, and delivery.
Custom cakes are where bakeries make their best margins — but also where things can go wrong without a system. Here's how to handle them in BakeOnyx.
Step 1: Consultation
Create an inquiry at /dashboard/inquiries. Capture: event date, guest count, design description, flavour preferences, dietary needs, budget. Upload reference images — they attach to the inquiry and carry through to the order.
Step 2: Quote with Tier Pricing
From the inquiry, click Create Quote. Structure your pricing clearly:
| Line Item | Example Price |
|---|---|
| 8-inch Vanilla Cake (base) | $85.00 |
| Fondant Covering + Decoration | $65.00 |
| Fresh Flower Topper | $25.00 |
| Delivery | $15.00 |
| Total | $190.00 |
Step 3: Deposit & Confirmation
Convert accepted quote to order. Record the deposit (typically 50%) on the order detail page. The order clearly shows deposit paid vs balance remaining.
Step 4: Production Planning
📅 Typical Custom Cake Timeline
- 2-3 days before: Bake cake layers (add to production schedule)
- 1-2 days before: Filling, crumb coat, chill
- Day before / day of: Final decoration
Step 5: Deliver & Collect Balance
Take a photo before delivery (for your portfolio!). Mark as delivered. Collect the balance payment. Print allergen labels from the order detail page if required.
💡 Pro Tip
Always get a deposit before starting work. Use the inquiry notes to record consultation details — colours, design elements, specific requests. These notes carry through to the order so your decorator always has the full brief.
