Getting Paid by Bank Transfer

Add your bank details once and they show as "How to pay" on unpaid invoices, quotes, statements and payment emails.

Getting Paid by Bank Transfer

Some customers do not pay online. Add your bank details once, and BakeOnyx shows them as a "How to pay" box everywhere a customer is asked to pay you.

Set it up

  1. Go to Settings → Payments and scroll to Offline payments (bank transfer). (You can also click Set up bank transfer details in Settings → Invoice.)
  2. Turn on Show offline payment details to customers.
  3. Type your bank transfer details as your customers need them — for example bank name, account name, sort code and account number, or IBAN, or routing number.
  4. Optional: add other ways to pay, for example "Cash on collection" or "Cheques payable to Your Bakery Ltd".
  5. Click Save payment details.

Where customers see it

  • Invoice PDFs — downloaded, bulk-printed, emailed, and wholesale consolidated invoices
  • The invoice email
  • Quote PDFs and the quote email
  • Deposit request, balance-due and payment reminder emails
  • Wholesale statements (PDF and email)
  • The customer's order page (next to Pay Now, if you also take online payments)

The box shows only while money is owed. A paid invoice never asks for payment.

Payment reference

BakeOnyx adds "Please use reference INV-0123" under your bank details (the quote number on quotes, the order number on deposit and balance emails). When the money arrives, you can match it to the right invoice. Record it with Record Payment → Bank Transfer.

Your own email templates

If you wrote your own invoice or reminder email templates, the box is added at the end automatically. To place it yourself, put {{paymentDetails}} where you want it.

Keeping your customers safe

  • Only the bakery owner can change the bank details. Managers and other team members can see them but not edit them.
  • Every change sends an email to all owners and is recorded in the security log. If you get this email and did not make the change, check the details and change your password.
  • Invoices always show your current details — if you change bank, older unpaid invoices show the new account too.

Turn it off

Turn off the switch to hide the details everywhere. Your text is kept, so you can turn it back on later.
