Recurring Purchase Orders

If you order the same supplies from the same supplier again and again — flour every Monday, dairy twice a month, packaging monthly — a recurring purchase order sets it up once and then creates the order for you on schedule. No re-typing, and no forgetting to reorder.

Every order is created as a draft. BakeOnyx never sends anything to your supplier automatically. You review the quantities and prices, then mark it Ordered yourself — you always stay in control.

Before you start

• You are on the Growth or Scale plan.
• You have at least one supplier set up.

Set up a recurring purchase order

1. Go to Purchase Orders → Recurring → New Recurring PO.
2. Pick the supplier.
3. Add your line items. Link an ingredient and its unit and cost fill in automatically; you can also type a free-text item.
4. Choose a frequency: daily, weekdays, weekly, every 2 weeks, or monthly.
5. Set a lead time — how many days before the delivery date the draft PO should appear, so you have time to review and send it.
6. Optionally set an end date. Leave it blank to repeat indefinitely.
7. Save. BakeOnyx shows the next date a draft PO will be created.

What happens on schedule

Each time the lead-time window is reached, BakeOnyx creates the purchase order as a draft with your items, quantities, prices, shipping, and tax. Open it under Purchase Orders, check it, and mark it Ordered to send it to your supplier. From there it follows the normal purchase order workflow — including receiving stock when it arrives.

Manage a recurring order

• Pause a template during a slow season, and Resume it later.
• Skip just the next order — for example when you already have enough stock this week — without cancelling the whole schedule.
• Edit the items, quantities, supplier, frequency, or lead time at any time.
• Cancel the template when you no longer need it.
• Each template keeps a history of every purchase order it has generated.

Shortcut: make an existing PO recurring

Open any existing purchase order and choose Make Recurring. BakeOnyx reuses that order's supplier and items and asks only how often to repeat — a fast way to turn a one-off order into a standing one.

Recurring purchase orders vs. recurring orders

These are two different features:

• Recurring purchase orders are what you buy from your suppliers (procurement).
• Recurring orders are what your customers buy from you (sales).
