Wholesale Contacts and Companies
Add several people to a wholesale account, send each the right emails, give them their own portal login, and group accounts under one company.
Wholesale Contacts and Companies
- Add several people to one wholesale account, and send each person the right emails
- Give each person their own portal login
- Group accounts of one business under a company, with one login that can order for every account
Contacts on an account
Many wholesale customers have more than one person you deal with. For example, the chef orders and the accounts team pays. Open the customer and use the Contacts card to add each person.
Each contact has one or more roles. The role decides which emails they get:
- Ordering — order confirmations
- Billing — invoices and payment receipts
- Delivery — saved for later use
- Primary — the default person. If no contact has a role, the primary contact gets that email.
When you send an invoice by hand, the email box starts with the billing contact. You can change it before you send.
A portal login for each person
Each contact can have their own login to your wholesale portal. Tick Give this contact a portal login and set a password. The contact can also use Forgot password on the portal login page.
- First turn on the portal for the account: open the customer → Manage Pricing → Wholesale Portal Access.
- Only owners and managers can give, change or remove portal logins.
- When you remove a contact's login, that person is logged out at once. Other contacts are not affected.
Companies (Scale plan)
Some businesses have several accounts that you bill separately — for example a café chain with one account for each café. A company groups these accounts.
- Go to Wholesale and click Companies, or open Companies.
- Click New company and enter the name.
- On the company page, click Add account and add each account that belongs to it.
Billing stays per account. Each account keeps its own prices, payment terms, credit limit and invoices. The company page shows what each account owes now (sent and overdue invoices) and the company total.
Company contacts
On the company page you can add contacts that act for every account in the company — for example the head-office accounts team.
- They get each account's emails for their roles, together with the account's own contacts.
- With a portal login, they sign in once. A switcher at the top of the portal lets them choose the account to order for. Each account shows only its own orders, invoices and prices.
- The login works for accounts in the company that are active and have the portal turned on.
Removing an account or a company
- Remove from company keeps the account, its orders and invoices. Company contacts can no longer see or order for it.
- Delete company keeps every account, order and invoice. Only the grouping and the company contacts are removed.
