Staff Time Clock and Weekly Pay

Staff clock in, take lunch, and clock out; the timesheet adds hours × rate plus expenses to a weekly total to pay.

Staff Time Clock and Weekly Pay

Your staff can clock in when they start, take lunch, and clock out when they finish. BakeOnyx adds up the hours for each person every week. You set each person's hourly rate, choose if lunch is paid or unpaid, and add expenses. The timesheet then shows the total to pay for each person.

  • Staff clock in and out from any page, on a phone, tablet, or computer
  • Lunch is recorded, and you choose if it is paid or unpaid
  • Hourly rate × paid hours = hours pay
  • Expenses, bonuses, and deductions, each marked Included or Excluded from the total
  • Export to CSV for your accountant or payroll service, or print the week
Plan: The time clock is part of the Scale plan. It is also available during your free trial.

Turn On the Time Clock

  1. Go to Schedule in the left menu.
  2. Open the Timesheet tab.
  3. Turn on Time clock.
  4. If you pay staff for their lunch, turn on Lunch is paid by default. This applies to new time entries. You can change each entry later.

When the time clock is on, every team member sees a Clock in button at the top of each page. Owners and managers can turn it on. You can also find it in Settings → search "timesheet".

How Staff Clock In and Out

  1. Tap Clock in at the top of the page, then tap Clock in again to confirm.
  2. At lunch, tap the clock button and then Start lunch. Tap End lunch when you come back.
  3. At the end of the day, tap Clock out.

The button shows a green dot while you are on shift and an amber dot while you are on lunch. Every role can clock in, including custom roles such as Driver.

If a person has a shift on the schedule today, the clock-in is linked to that shift. Then the timesheet shows the planned times next to the real times. If there is no planned shift, BakeOnyx makes a new entry.

Read the Weekly Timesheet

Go to Schedule → Timesheet. Use the arrows to move between weeks. For each person you see:

  • In – Out: the real start and finish times
  • Planned: the shift times from the schedule (if there was a shift)
  • Lunch: the lunch minutes
  • Lunch pay: a Paid or Unpaid badge. Unpaid lunch is taken off the hours. Paid lunch stays in the hours.
  • Hours: the paid hours for that day
  • Pay: paid hours × hourly rate (owner only)

The Working now card shows who is clocked in at this moment.

Set Hourly Rates (Owner Only)

  1. On the Timesheet tab, find the person.
  2. Click Set hourly rate (or the current rate) next to their name.
  3. Enter the rate and click Save.

Rates are used for the timesheet pay, the labor cost on the schedule, and the Labor Cost report.

Change Lunch to Paid or Unpaid

Owners and managers can click the Paid / Unpaid badge on any entry to change it. The hours and pay update at once.

Add Expenses, Bonuses, and Deductions (Owner Only)

  1. In the person's card, find Expenses and adjustments and click Add.
  2. Choose the type: Expense to pay back, Bonus / tip, or Deduction.
  3. Enter a description (for example, "Fuel for deliveries"), the date, and the amount.
  4. Choose Include in total to pay, then click Save.

Use the Included / Excluded switch on each line to change it later. Excluded lines stay on the timesheet for your records, but they are not added to the total. These entries do not go into the bakery Expenses list.

At the bottom of each card you see:

  • Hours pay = paid hours × hourly rate
  • + Expenses and bonuses (included only)
  • − Deductions (included only)
  • Total to pay

Fix a Missed Clock-In or Clock-Out

  1. Owners and managers: click the pencil on the entry, or + Time next to the person to add a missing day.
  2. Enter the start, finish, and lunch minutes. A finish time earlier than the start time means the next day (night shift).
  3. Click Save. The entry shows "edited" so you know a manager changed it.

To remove an entry, click the bin icon. If the entry came from a planned shift, the shift stays on the schedule and only the clocked time is removed.

Who Sees What

  • Everyone: can clock in and out for themselves.
  • Staff: see only their own hours on the Timesheet tab. They do not see rates or pay.
  • Managers: see everyone's hours, fix entries, and turn the time clock on or off. They do not see rates or pay.
  • Owner: sees everything, including rates, pay, expenses, labor cost, and the Labor Cost report. You can give "Staff pay" to a custom role in Settings → Team → Roles.

Export or Print

Click CSV to download the week. The file has one line for each time entry. For the owner it also has the expenses and the totals for each person. Click Print for a paper copy.

Tip: Check the timesheet each week before you pay. Look for people who forgot to clock out — their entry shows "On shift" after they went home.
